1. Who is the controller of your data
The controller of personal data is Rent Expert sp. z o.o., registered office in Gdynia, ul. Świętojańska 43/23, 81-391 Gdynia, Poland, entered in the Register of Entrepreneurs of the National Court Register under number 0000574846, VAT ID 5842743974.
For matters concerning personal data, write to biuro@rentexpert.eu or call +48 501 000 026.
2. What data we collect
From the contact form: your name, e-mail address, phone number (optional field) and the content of your message, in which you usually describe your property and your lease.
Automatically, in server logs: IP address, date and time of the request, the address of the page visited, browser and operating system type. This data is recorded by the server software and serves solely to ensure security and diagnose faults.
We do not collect special categories of data and do not ask for them in the form. Please do not include in your message any information that is not needed to answer your enquiry.
3. Why we process the data and on what basis
| Purpose | Legal basis |
|---|---|
| Answering your enquiry and taking steps prior to entering into a contract | Art. 6(1)(b) GDPR |
| Ongoing contact, defence against potential claims | Art. 6(1)(f) GDPR — our legitimate interest |
| Ensuring the security of the website | Art. 6(1)(f) GDPR |
| Visit statistics (once analytics is enabled) | Art. 6(1)(a) GDPR — your consent |
4. How long we keep the data
We keep correspondence for the duration of the matter and, after it is closed, for the limitation period for claims arising from applicable law. Enquiries that are not followed by cooperation are deleted after 12 months. Server logs are overwritten periodically.
5. Who we share the data with
Data may be entrusted to entities providing technical support to us:
- Global Link sp. z o.o. — technical maintenance of the website and intermediary for hosting services,
- HITME.PL — physical storage of the data on its servers,
- Google Ireland Limited — only after you have consented to statistics (see section 8).
We do not sell data and do not disclose it to third parties for marketing purposes.
Data is not transferred outside the European Economic Area, with one reservation: the use of Google Analytics may involve a transfer of data to the United States on the basis of the European Commission adequacy decision (Data Privacy Framework). Such a transfer occurs only if you consent to statistics.
6. Your rights
You have the right to: access your data, rectify it, erase it, restrict its processing, data portability, and object to processing based on our legitimate interest. You may withdraw your consent to statistics at any time, which does not affect the lawfulness of processing carried out before its withdrawal.
You also have the right to lodge a complaint with the President of the Personal Data Protection Office, ul. Stawki 2, 00-193 Warsaw, Poland.
7. Is providing data mandatory
Providing data is voluntary, but without an e-mail address or phone number we will not be able to answer your enquiry. We do not make automated decisions and do not use profiling.
8. Cookies
Necessary cookies. The website stores a single technical cookie named grav-site. It is a session cookie valid for 30 minutes, flagged HttpOnly and SameSite=Lax. It ensures the contact form works correctly and is protected against abuse. It is not used for tracking and does not require consent, because without it the site would not function properly.
Analytics cookies. We plan to enable Google Analytics to collect anonymous visit statistics. The analytics script loads only after you click the accept button in the consent banner — if you do not give consent, no Google code is executed and no analytics cookie is stored.
As at the date of this update: analytics is not yet enabled. The site does not load any resources from external servers — fonts, icons and scripts are hosted locally.
Managing your consent. You can change your choice by clearing site data in your browser — the banner will then appear again. You can also block cookies in your browser settings; blocking necessary cookies may prevent the form from being submitted.
9. Changes to this policy
We update this policy whenever the way the site works changes — for example after analytics is enabled. The date of the last change is shown at the top of this page.
